Frequently Asked Questions
Previously, under our Re-Enrollment procedure, our office staff sent out two copies of the Re-Enrollment contract for each student. The parent(s) were expected to sign and return both contracts by the end of the month if they were planning to re-enroll their child(ren) for the next school year. For planning and budgeting purposes, we need to know how many students to plan for on the first day of school.
Did you know that many of our classes are at or near capacity? Our recent immense growth requires us to plan for adding future classes, hiring new teachers and improving our facilities.
Leadership plans diligently to ensure that we’re prepared to fulfill our mission with excellence every year. Until Liberty Classical families “sign on the line” that they’re coming back each year, we can’t make solid plans for staffing, programs, materials, curriculum and facility usage.
We take the stewardship of tuition dollars entrusted to us very seriously. We want to invest these tuition dollars wisely so that we can provide the best education possible for Liberty Classical students.
Great idea! Up until this point, Re-enrollment has been an “opt-in” program. Annually, we have asked every family, “Are you coming back?” In a sense, we’ve been requiring the vast majority of families to go through this process when, in actuality, only a few families decide not to return. Last year, for instance, we retained 92% of our student body. So everyone had to go through Re-enrollment paperwork for the sake of the small 8% that, for one reason or another, left our Liberty Classical community.
By signing your new Continuous Enrollment contract, you will be flipping that script. Rather than an ‘Opt-IN’ process each February, our annual re-enrollment period will become an ‘Opt-OUT’ opportunity. Just let us know if you are not planning to return next year. For the majority of families, if you’re coming back after signing your “Continuous Enrollment Contract,” you won’t have to do a thing!
The new Continuous Enrollment contract will automatically be used for all new families enrolling 2018 and later.
No, the CE contract is only for students admitted to the K-12 program at Liberty Classical Academy. Preschool students will still be admitted into our Preschool program on an annual basis.
After we rolled out the Continuous Enrollment program in spring of 2018, now the typical re-enrollment process every February will simply be a communication reminder from the school informing the families that might be thinking about leaving our school to notify us prior to the end of March. It will be an opportunity to ‘Opt-Out’ of enrollment for the following year.
If last year is any indication, this means that over 90% of Liberty Classical families will have the convenience of ignoring this message and doing absolutely nothing!
Under Continuous Enrollment, when the Opt-Out period opens up in March, you will not have to do anything, and you won’t be charged for any deposits or fees. Your tuition will be invoiced in June for payment in July, according to the payment plan you’ve selected.
Yes, you will receive an invoice through FACTS at least ten days prior to the automated withdrawal for any tuition or fees charged to your account. FACTS allows you the option to have the amount deducted from your bank account or pay by credit card.
Good news! We are also changing the timing of the Scholarship process. Instead of waiting until June for your family’s Scholarship award, you can learn as early as mid- March the amount of tuition you’ll pay.
This means that if you submit your scholarship application through FACTS by February 9, you will receive notification of your Scholarship award by mid-March. This gives you two weeks as usual to consider your award in light of your family’s finances before the final Opt-Out deadline of March 31.
We have created an easy one-page opt-out form for your use, called the Enrollment Renewal Declination form (located on this page under Resources). To notify the school that your child will not be returning in the fall, simply complete the Declination form, bring it in to the office, and hand it to the staff member at the front desk by the March 31 opt-out deadline.
The Enrollment Renewal Declination Form can be used by families who are undecided about returning in the fall. Simply fill out the Declination form and hand it to a staff member at the Liberty Classical front desk by March 31. This will release you from your Continuous Enrollment contract. Once you decide to return, simply fill out the Enrollment Renewal form to notify us of your decision. If there is room in your child’s class, we will reinstate your child and reactivate your Continuous Enrollment contract.
Please note that a processing fee of $100 per student will be assessed with the Enrollment Renewal Form upon returning.
If a family breaks the contract by un-enrolling their students after the final date to opt out (March 31), they will be obligated to pay a percentage of tuition fees based on the period of time from the final opt out date (March 31) to the date they formally unenroll. The tuition fee responsibilities for late opt outs are outlined in the attached chart.
School leadership makes decisions related to hiring staff, splitting classes, and purchasing additional curriculum and materials based on anticipated enrollment. Your future plans influence our current decisions.
We understand that life takes other turns than what we had imagined, so we’ve built flexibility into this contract.
During each annual Opt-Out period (March 1-31), you can notify Liberty Classical if you’re not planning to return next year, without any penalty or difficulty, by filling out the Enrollment Renewal Declination Form and bringing it to a staff member at the main office by March 31.
If you decide to leave Liberty Classical after the opt-out period ends on March 31 for personal reasons, you will be responsible for a percentage of tuition fees based on the date you choose to notify school of your decision. As you can understand, Liberty Classical must hire teachers and purchase classroom materials for your child beginning in late spring and early summer, so we rely closely on the enrollment numbers produced each spring.
However, if the March 31 deadline passes and you find you must leave due to unforeseen circumstances, you may write a letter to the Board of Directors requesting a release of contract. The Board of Directors will review your situation and determine whether a release of contact is warranted.
Continuous Enrollment is a simple one-time process. Once you sign your Continuous Enrollment Contract, you’ll never have to deal with re-enrollment again. Again, our motto is “one and done”—sign one Continuous Enrollment contract and you are done for the rest of your child’s schooling at Liberty Classical Academy. You will be part of the Liberty Classical community until you tell us otherwise, and your child’s spot in their class will be secure until graduation. In the event that things do change, you’ll have until the end of March every year to simply notify the school and face absolutely no penalty.
New families will sign the Continuous Enrollment contract at the time they enroll their child(ren). This new contract replaces the former enrollment contract, which was previously used for all families.
- Simplicity. Continuous Enrollment eliminates the annual re-enrollment process and paperwork involved.
- Guaranteed placement. With rapidly increasing enrollment, we are at or near capacity in many of our grades. Placement in next year’s class is an increasingly sought-after spot. By enrolling now, you will be securing your child’s spot in his/her class until graduation.
